SCP Youth Soccer (SCPYS or simply the Club) is committed to a voluntary privacy policy for our members. The objective of this policy is to ensure that information that could be used to identify you ("Personal Information") is managed in a responsible and transparent manner.
This policy relates to your privacy as a club member and/or user of our website. We may request Personal Information from time to time to enable you to participate in and enjoy various membership benefits. Unless you authorize us to do otherwise, the Personal Information you provide will be protected and not disclosed to any third parties in accordance with this policy.
Terms of use
- Acceptance of terms. By accessing or using this website, registering a player, or participating in SCP Youth Soccer activities, you agree to these Terms of Use and our Privacy Policy. If you do not agree, please do not use our site or services.
- Organization overview. SCP Youth Soccer LLC ("SCP," "we," "our," or "us") operates as a nonprofit youth soccer club based in New Jersey, providing training, programs, and communication for youth players, families, and community members.
- Use of website and content. You may use this website for lawful purposes only. All logos, photos, schedules, and written materials on this site are the property of SCP Youth Soccer and may not be copied, modified, or distributed without written permission.
- Player registration & accounts. Parents or guardians must provide accurate and complete information when registering players, and are responsible for maintaining the confidentiality of any login information used for registration or communication.
- Communication consent. By registering or submitting your contact information, you consent to receive communications (including text messages, emails, and announcements) from SCP Youth Soccer regarding club updates, events, and registration reminders. You may opt out of marketing communications at any time.
- Photography & media release. By participating in SCP Youth Soccer events, you grant permission for photographs or videos taken during club activities to be used for promotional or informational purposes on our website, social media, or printed materials. To opt out, contact us in writing before the season begins.
- Code of conduct & liability waiver. Participation is voluntary. All players, parents, and coaches are expected to uphold the club's Code of Conduct emphasizing sportsmanship, respect, and safety. By participating, you acknowledge the inherent risks of athletic activity and agree that SCP Youth Soccer LLC, its staff, volunteers, and partners are not liable for injuries, damages, or losses incurred during practices, games, or events, except in cases of gross negligence or willful misconduct.
- Links to third-party sites. Our website may include links to external sites not controlled by SCP Youth Soccer. We are not responsible for the content or privacy practices of these external websites.
- Privacy. Personal data collected through registration or communications is used solely for club operations and will not be sold or shared outside SCP Youth Soccer.

We keep your Personal Information safeguarded from unauthorized access, and only as long as necessary or relevant for the identified purposes or as required by law. Where kept in paper form, it is generally kept under lock and key. Where kept electronically, it resides in secure data storage and is protected by passwords.
Collection of your personal information
SCP Youth Soccer requires personal information from its members (players, coaches, managers, team staff, and volunteers) in order to offer its various member services. This information is collected via appropriate registration forms, historical participation, and website activity logs. We generally request:
- Name and personal and emergency contact information, including address, phone numbers, and email
- Proof of age and residency within the club's district
- General health information as it relates to the safety of the member and fellow members
- Soccer experience and member appraisal information
- For volunteers: volunteer screening information, including a review of Police Records Search
- Historical activity information such as past participation in member services
- Interests and preferences regarding club services
- Various website activity, including IP address and online activity
The club's website may use cookies to collect information about your use of the site. Cookies identify your browser — not you — to our servers; unless you specifically tell us, we will not know who you are. If you opt not to accept cookies, some site features may not be available.
How your personal information is used
- A limited set of your Personal Information is shared with our governing bodies as required for registration: US Youth Soccer, New Jersey Youth Soccer, Mid New Jersey Youth Soccer League, and Kenilworth Recreation Soccer.
- A limited set is shared with our insurer in connection with insurance coverage.
- A much more limited set (typically name, date of birth, registration number, jersey number, and position) is provided when member teams register for non-club tournaments.
- We share Personal Information with our professional advisors, including the club's lawyers and accountants, in performing their duties within the club's mandate.
- The club may disclose Personal Information to staff, directors, coaches, managers, conveners, game officials, and other club volunteers.
- Historical participation, interests, and website activity are used to determine which features and services members like, so we can improve what we do.
- We prepare aggregated statistics to describe our services to third parties such as prospective sponsors, and for other lawful purposes. Advertisers or vendors on our site never have direct access to your Personal Information unless you provide it to them directly.
Whenever we share your Personal Information, we limit what's shared to the minimum required to complete the service. We will not disclose your Personal Information to any third party without first obtaining your consent — except where legally obligated (law, regulation, search warrant, subpoena, or court order), or where the personal safety of club members or the public is at risk, or where the rights or property of SCP Youth Soccer are at risk.
Police volunteer records search
The Club adheres to its Volunteer Screening Procedures. Under this policy, all club directors, coaches, managers, team staff, and volunteers must complete and share the results of a Police Records Search with the Club on a periodic basis.
Control of your personal information
Files are maintained on any information in your file, including applications, enquiries, complaints, compliments, insurance, and other correspondence made by you and our response, if any. SCP Youth Soccer maintains all player, coach, team staff, and volunteer registration files for several years as required by its governing bodies.
By registering with SCP Youth Soccer in any program, at any time, or otherwise by providing the Club with your Personal Information, you are accepting the practices described in this Privacy Policy.
